Viewing AMCAS Letters

AMCAS is still in the midst of a three week document exchange testing window with VirtualEvals. Letters sent via VirtualEvals (VE) for pilot schools will not appear as received in AMCAS until July 8, 2008. This date has been communicated to pilot schools. Medical Schools who begin receiving applications who wish to view letters between now and July 8th can download letters directly from VE. This means that you will not be able to see your letters that are on VE in your AMCAS application until July 8th.

Because Virtual Evals is now open, we are working on submitting letters that have been requested. We are doing the best we can so please be patient. Your letters will not hold back your application, so don't worry. Here are some important things that you need to know.

1 - We cannot upload your letters until you have completely submitted your AMCAS application. We can't see the schools that we need to give access to your letters unless you have submitted it, so please wait to request your letters until you have submitted the AMCAS application.

2 - You should only have ONE letter request form (you should be asked to print this after you enter the LOR information on AMCAS; this is different from the pink sheet used in our office - it should have a Letter ID number and a barcode on it) unless you are sending letters in addition to ours. If you have more than one letter request, that means you didn't put our letter as a packet letter. All of the letters within the packet will be under Dr. Kaiser's name.

3 - With the pilot schools and the non-pilot schools, your letters will be uploaded to Virtual Evals. For pilot schools, AMCAS will be notified that the letters are on Virtual Evals and will access the letters from there to send to the pilot schools. The only difference between these schools and non-pilot schools is that AMCAS will send the letters to the pilot schools while the non-pilot schools will access them from Virtual Evals. We upload letters to all schools at the same time so you only need to make one request.
**If you are applying to pilot schools, you may request letters as soon as you submit your application. If you are not applying to ANY pilot schools, wait to request letters until you receive secondaries.**

4 – After you have printed the letter request form and given it to us and submitted the application, you need to then request the letters on our website. You need to include your AMCAS, TMDSAS ID/PIN, and AACOMAS ID as applicable.

5 – If you add more schools to your application after your letters have been uploaded, request them to be sent to those specific schools.

AMCAS Letter Request Form

Despite the June 4th submission date, AMCAS is accepting letters of recommendations now. However, we will be using Virtual Evals which doesn’t open until June 9th. This will not delay your application at all. As part of the AMCAS application, for the 21 medical schools participating in the pilot program this year, you will be asked to print a letter request form and take it who is sending your letters (this is our office). You MUST bring this to us before we can send your letters.

To send your letters:

1. We need the request form
2. Request them on our website (ccc.byu.edu/healthpro). Make sure to include your AAMC ID number (and an address if they are being sent hard copy).

Please make sure that we have all of the letters that you want sent before you request them!

Unless you are applying to the pilot schools, wait until you get secondaries to request your letters. Pilot schools will not be looking at LOR's earlier than secondaries either so if you would like to wait to request letter until then, it would be fine.

After this Friday (May 30th), any letter of evaluation requests that we receive will be sent.

If you would like your letters sent before then and we have already received a request for you, you need to email healthprosec@byu.edu and include:
1. Your full name
2. Your AAMCAS ID
3. The letters that you would like sent.

If you are not ready for us to send your letters (we do not have them all), make sure that you:
1. Withdraw your request or
2. Do not save that part of your application until you are ready. Once you save that part of the application, it automatically sends a request.

AADSAS LOR's

If you are working on your AADSAS application now, here is a suggestion for your letters of recommendation (evaluation). When you put in our information (that we sent out yesterday) and save the page, it immediately sends us the email that you want letters to be sent. This is the case even though you have not submitted it, you just have to save it. The only problem with this is that if you are not ready for your letters to be sent, we will already have the request. If you are not ready to have your letters sent (either because we don't have them all yet or for other reasons) wait to fill out that part of the application until you are ready. Please make sure that you have all of the letters you want sent when you save that part of you application; otherwise we will send what we have and you will have to find another way to get other letters to your schools.

If you have already saved that part, we have probably already received an email. If you are not ready, please withdraw and submit that later when you are. If you have filled it out and are ready, please email me (healthprosec@byu.edu) and tell me that you are ready (include your name and AADSAS ID). Let me know if you have questions. Thanks.
